Discogs synchronization guidelines
When using synchronization there are some important things to keep in mind to avoid inconsistencies in your inventory and sales data.
Do ✅ | Do Not ❌ |
Add releases on Common Ground -> ‘List to Discogs’ from Common Ground | List on Discogs |
Unlist from Common Ground | Delete listings on Discogs |
Edit listings on Common Ground | Edit listings on Discogs |
If you do happen to list an item directly on Discogs, use the following link to manage any non-synchronized listings between Discogs and Common Ground.
Common Ground → Discogs API
The Discogs API has limitations, and managing Discogs orders from the Common Ground Backoffice is different from managing them directly on Discogs.
Some of these limitations concern the amount of requests we can send to their API, as we cannot exceed one request per second. Therefore, we have configured our systems as follows:
We only scan for new orders on your Discogs profile every 30 minutes.
We only scan the last 20 orders on your Discogs profile.
We only update orders that are beyond the last 20 orders when you open the order page on CG.
We cannot import messages that aren't in an order.
We do not support merged orders through Discogs.
Items will be hidden on Discogs market place if they are sold out from your backoffice
Auto-Cancelled orders (non-paying buyer): items must be manually re-listed
Note: Common Ground does not support importing of orders that are Merged on Discogs.
Identify Stock Discrepancies
Discrepancies in stock may occur from time to time due to these limitations, although they are rare if you follow the guidelines.
To ensure your inventories are in good standing and to reconcile any unsynced listings, understand how to use the Discogs Discrepancy Report tool :
Another way to ensure listings are properly synced is to verify that the correct ID numbers match between Discogs and Common Ground:
Discogs release ID number
Discogs Release ID number seen from Common Ground Release page
Orders containing unsynced listings cannot be imported and will trigger a Discogs Import Error:
Discogs Import Error : Not enough stock or listing not found for release:
Import my Discogs Marketplace inventory
If you already have inventory listed on Discogs, you can import it directly using our Discogs Inventory Importer : Inventory > My Discogs Inventory.
In this menu you will see your Discogs inventory and options for each item.
Import and synchronize all Discogs listings : Import All
Import individual listings to inventory: Import to inventory
Unlist items from Discogs : Unlist from Discogs
Keep in mind that in the current version, there is no option to unlist / delete listings in bulk. So it's a good idea to tidy up your Discogs inventory before you import it.
