Import, delete and update inventory using a CSV document

CSV imports

This import tool allows you to import items and data using a CSV document.

The following methods are available:

  • Import releases with Discogs ID

  • Import releases manually

  • Update listings

  • Delete listings

  • Import customers
    ​

For each method a corresponding template is available for download.

All templates can be accessed via the import menu or here :

Using a spreadsheet editor (Numbers, Excel) fill your CSV document according to the formatting guidelines provided within the template and save the file. Make sure to save it as a CSV.

Now you can add your CSV document to the uploader where it says

"Drop CSV file here".

A preview of all entries scheduled for upload will appear along with a list of possible errors. This allows you to make any final amendments before Submitting the upload job. These data checks that will give you a clear analysis of your file so you can make adjustments before you proceed with the import.

Note: Cells highlighted in Yellow are mandatory.

Import Releases with Discogs ID

You can import your Discogs inventory via CSV and all detailed release information will be included, along with listing data.

1) To import via CSV you need the following:

  • From Discogs : an inventory export CSV

  • From Common Ground : the Releases-With-Discogs CSV located here

Copy and paste the required data from the Discogs Inventory Export file into the Common Ground CSV Template.

2) The essential columns to fill on the Common Ground template are:

  • release_discogs_id (corresponds to release_id on Discogs Export)

  • listing_price

As long as the release_discogs_id field is matched, all global release data will be imported from Discogs to Common Ground.

Using this method you can add the detailed listing data as you import, such as comments, conditions and more.

Add your CSV document to the uploader where it says

"Drop CSV file here".


Bulk Delete Listings from Your Inventory

You can remove specific listings from your inventory using the CSV Importer and Listings Delete tools.

Before deleting listings, export and save a full backup of your inventory CSV. This ensures you can restore any items if needed.

How to bulk delete listings from your inventory:

1. Export your inventory

2. Filter your listings

  • Open the CSV in your preferred spreadsheet editor.

  • Filter and select all items that match your criteria (e.g., stock quantity, supplier, format).

  • Delete all other rows from the spreadsheet, keeping only the items you want to delete.

3. Keep the listing_id column

  • Ensure the listing_id column is retained.

  • Save / Export the file as a CSV.

4. Delete the selected listings

  • In the Listings Delete tool, upload the CSV containing only the listing_id column.

  • The selected listings will be removed from your inventory.


Update listings

How to Update Listings using the CSV Importer

Note: This guide assumes basic familiarity with Apple Numbers or similar spreadsheet software.

Follow the steps below to update or change listing values using the Listings Updater. You can use this process to implement updates to multiple values at one time.

Steps to update listings

  1. Open the Update Listings CSV template
    (You can view this on the Listings Import page or download it here.)

  2. Enter listing IDs
    In the listing_id column, paste or type the ID numbers of the listings you want to update.

  3. Edit values
    Adjust the fields you want to update (e.g. listing_media_condition, listing_price, etc.).
    Leave all other fields blank unless you're making changes to them.

  4. Export the file
    Save your changes and export the file as a CSV.

  5. Preview and submit
    Drop your CSV into the upload area.
    Review the changes and click Submit Upload to apply the updates.

Clearing an Existing Value

Entering null will remove and clear the existing value of a cell when the update is applied.

Column Structure Requirements

Except for the required columns (highlighted in yellow), you can delete or reorder any column.

The import tool only scans for column headers, and it is the header text that determines whether the import will work. Column position is not taken into account.
