Stock automations

When stock for a listing reaches 1, Common Ground can automatically trigger a set of actions you define, changing the listing status, adding a comment, updating the condition, or reducing the price.

For display copy management, the key action is setting the listing status to Private, which pulls the item from your online store while keeping it fully sellable in-store via the POS.

To get started, edit your preferences to enable and configure the automation, then enable it individually on each listing you want it to apply to.

Why this works well for teams

  • No manual steps β€” the system handles it automatically

  • No reliance on staff memory β€” the listing status makes the situation unambiguous

  • Works across all item types β€” you can configure separate rules for Releases, Products and Books

Things to keep in mind

  • The automation only fires for non-second-hand listings

  • It triggers at a stock level of exactly 1 β€” make sure your opening stock count includes the display copy

  • If you reduce the price as part of the automation, the original price is automatically saved as the compare-at price
