Locking, invoicing and shipping an order

Lock an order, send the quote or invoice, manage delivery and shipping costs, or cancel the order.

Before you lock: send a quote

You can send your customer both a Quote or an Invoice when an Order's status is NewOrder.

  1. Click Generate the PDF… to create a quote of the order as it stands.

  2. If you change items or details afterward, click Generate again to refresh the quote before sending it.

To give each invoice a unique, sequential number, set up a custom invoice ID.

Locking an order

Locking an order (Ready to invoice) saves its details and freezes the item list. For Shop orders, it's the step that lets you generate the invoice and move on to delivery. The order status changes to Invoice sent, and only an invoice can be sent from then on.

Warning: Locking can't be undone. A locked order can only be cancelled.

Before locking, check that:

  • The buyer's billing address, shipping address and email are filled in

  • Every item is in stock and available for this order

  • Prices and discounts are correct

  • Shipping costs are correct

Some orders arrive already locked. Eshop orders are locked as soon as they're paid, unless Allow basket to be placed as New Order is enabled.

What you can still change on a locked order

You can still:

  • Edit the customer details

  • Edit the shipping address

  • Record payments and refunds

You can no longer:

  • Add, remove or edit items

  • Change prices or discounts

  • Change the shipping cost

Delivery

The Delivery section shows the order's shipping status and:

  • Shipping address: filled in from the customer's profile. Click Edit to change it, then Submit. You can do this even after the order is locked.

  • Weight: the total weight of the items, without packing materials

Click Proceed to delivery to open the packing list. Check the items before shipping, add a tracking link and send the shipping confirmation email.

Shop collection and pickup

When Store pickup is selected at checkout, the shipping status changes to Collected and the order status to Shipped when you click Submit order. The order is locked and the packing list is no longer available.

Cancelling an order

  1. In the Delivery section, click Cancel order.

  2. Choose whether to restore the items' stock quantities.

  3. Choose how the order was refunded. For a Stripe or PayPal refund, see Refund and cancel an order.

  4. Add a cancellation note if needed, then click Submit.

The order status changes to Cancelled and the order is hidden from the Orders menu. To find it, filter by Order status › Cancelled.

Warning: Cancelling can't be undone. You can still edit the refunds in the Billing section afterward.
