Create and manage suppliers

Suppliers are the businesses, distributors or people that provide the items in your inventory. Assigning suppliers to listings helps you organize and filter inventory, maintain supplier information, and share supplier-specific reports.

Overview

Go to Inventory > Suppliers to view and manage your supplier records.

  • Search suppliers: Enter a supplier name and submit the search.

  • Name: Displays the supplier’s name. Select the row to open its details.

  • Created: Displays the date the supplier was created.

  • Reporting: Displays a copy icon when a reporting link exists. Select it to copy the URL. A dash indicates that no reporting link has been generated.

  • Create a supplier: Opens the supplier creation form. Enter a unique supplier name and select Submit.

The Actions menu (⋯) at the end of a supplier row allows you to Edit, View listings in inventory, Copy the existing reporting URL, Generate a reporting link and Delete supplier.

Before you begin

Warning: Supplier sales tracking is not retroactive. Assign the supplier to a listing before sales are made. If you assign a supplier later, previous sales will not be added to that supplier’s reporting data; tracking begins with subsequent sales.

Create a supplier

  1. Go to Inventory.

  2. Select Suppliers.

  3. Select Create a supplier.

  4. Enter the Supplier name.

  5. Select Submit.

Supplier names must be unique.

Note: You can also create a supplier while adding a listing. Enter a new name in the listing’s Supplier field and save the item.

Assign a supplier to a listing

When adding or editing a listing:

  1. Find the Supplier field.

  2. Select an existing supplier or enter a new supplier name.

  3. Save the listing.

The supplier is associated with sales made after the assignment. Sales made before the supplier was assigned remain unattributed.

View or edit a supplier

Go to Inventory > Suppliers, then select a supplier to view its:

  • Name

  • Creation date

  • Tax information

  • Contact and address information, when available

  • Reporting links

To update a supplier:

  1. Open the supplier’s options menu.

  2. Select Edit.

  3. Update the Name or Tax information.

  4. Select Submit.

Renaming an existing supplier updates its linked inventory and order references. However, it does not recover sales made before any supplier was assigned.

Select View in inventory to display the listings currently associated with that supplier.

Share a supplier report

Supplier reporting links provide access to inventory and sales information associated with a supplier.

  1. Open the supplier.

  2. Select Generate reporting link.

  3. Select which reporting options to display:

    • Show prices

    • Show sales

    • Allow CSV exports

  4. Select Copy URL.

  5. Share the URL with the intended recipient.

All three reporting options are enabled by default for a new link. You can change them at any time.

Warning: Anyone with the reporting URL can open the permitted report data. Treat the URL as confidential and delete it when it is no longer required.

  1. Open the supplier.

  2. Find the link under Reporting links.

  3. Select Delete.

  4. Confirm the action.

Deleting the link prevents it from being used again.

Delete a supplier

  1. Open the supplier’s options menu.

  2. Select Delete.

  3. Confirm the action.

A supplier cannot be deleted while inventory listings still reference it. Select View in inventory, then remove or replace the supplier on those listings before trying again.

FAQ

How do I see which listings are associated with a specific supplier?

Go to Inventory > Suppliers, find the supplier, then use either method:

  1. Open the supplier and select View in inventory.

  2. Open the supplier’s three-dot menu and select View in inventory.

This opens the Inventory with that supplier applied as a filter. The results show the listings currently associated with the supplier.
